Your calendar should include a Strategic Planning Day if you're serious about scaling your online business. Done quarterly, this focused time allows you to step into your CEO shoes and map out a path for growth. When you have a set process for your planning day you'll not miss any important steps.

The Struggle is Real, But So is the Solution

If you're anything like me, you're juggling a million things simultaneously. Running an online business, taking care of your family, and trying to create consistent, organic content. It's a lot, right? But here's the good news: you're not alone, and there's a way to make it all work seamlessly.

1. Create a Distraction-Free Zone

Do you want to know the first thing you must do? You should put time on your calendar so that you actually will do this, have integrity with yourself, and complete this planning day.

It’s a lot if you cannot get through it all in one day; no worries, friend, break it up into days, or maybe you want to stay at a hotel for a weekend. What is essential is you focus on your business and where you're going in the next 12 weeks.

Before you start, ensure you're setting yourself up for success. Turn off notifications, close unnecessary browser tabs, and silence your phone. This is your time to focus solely on your business, so make it count.

2. Start with Reflection: The Foundation of Your Strategic Planning Day

Kick off your Strategic Planning Day by reflecting on your business journey. You must take a step back so that you can look forward. You're going to spend 15 minutes journaling and reflecting.

Grab your journal and jot down.

  • What has worked well for you
  • Areas that need improvement
  • Lessons learned (the good, the bad, and the ugly)

Remember, you're amazing, and acknowledging your wins is a crucial part of the process.

While you have your journal, let’s also do a self-assessment.

How happy are you really? Not put on a show fake happy, but like real, real happy.

How happy are you in these areas of your life:

  1. Money
  2. Personal Growth
  3. Self Care (Mind, Body, spirit)
  4. Family and Friends
  5. Love and Relationships
  6. You Time (Fun and Leisure)
  7. Home Environment
  8. Business

You're going to put a mark on each one of those categories from one to ten by ranking your happiness. A 10 means you’re happy and fulfilled in this area of your life. The areas that you may not be so happy about will probably be more like one or two.

3. Revisit and Realign Your Vision

Your vision is the North Star of your Strategic Planning Day. Read it out loud and ask yourself:

  • Does it still align with your current vision?
  • Does it evoke feelings of happiness, pride, and achievement?
  • If not, it's time for some adjustments.

4. Set SMART Goals: The Heart of Your Strategic Planning Day

Next, stop in your strategic planning day and set your goals for the next 12 weeks.

How can you make your vision a reality? By breaking it down into small, actionable goals.

I want you to take a look at what you want to achieve. What are your top three business, personal, and financial goals that you have for yourself?

Ask yourself, what are you committed to achieving? Identify what you are actually committed to 100%. Without your true commitment, you may struggle to get it done.

Now, let's get down to the nitty-gritty—your goals. Break them down into three categories:

  • One-year goals (Think big, like financial milestones)
  • 90-day goals (Smaller objectives that contribute to your one-year goals)
  • 30-day focus (Immediate actions to propel your business forward)

5. Commit and Break Down the Plan

A plan is only as good as its execution. Break down your goals into actionable steps, assigning responsibilities and deadlines. This is where your commitment comes into play; without it, even the best-laid plans can fall apart.

Have you ever broken down a goal into actionable steps, or are you more of a winger? Trust me, I wing with the best of them, but the things that truly matter are better off with a plan.

In step five of your strategy day, you will map it out. So, how do you make sure that you achieve those goals? You actually sit down, and you map out your goal.

Start at the end and work back to the beginning. How will you know that you’ve accomplished your goal? What was the step right before that, then the step before that? Map out all the different steps that must happen. Please keep in mind small, actionable steps that you can do every single day in order to move forward toward your goal.

Sit down and do a whole mind sweep of every step you think you will need to do to achieve that goal. And once you have it, you want to map it out with who's responsible.

If it's only you in your business. Well, you’ll be the only one doing the work. You also need to look at your time and the actual time bank that you have to get everything done. We tend to underestimate the amount of work and time something will take to get done. Make sure to give yourself grace.
To create your plan, you must also figure out how much time you’ll be working. It's time to pull out that calendar and determine how many days out of the office you want in the next 12 weeks. What days will your kiddos be home because they are off on a random day? What are the must-attend kid events? What holidays are upcoming? the holidays. All of those things. Then, you need to be able to reverse engineer from that end date to ensure that you have enough time to get all the items done. To make that goal a reality.

If it's not alone and you have a team member who is the team number that will be doing the work. You need to know all the action items; no more flying by the seat of your pants. You need to have the who, the want, and the when documented, preferably in a project management tool like Asana, Trello, or MeisterTask. All the actions are assigned a date by knowing the end date and revenue engineering the time frame.

Depending on how big your goals are, you may have a couple of goals in the quarter however, if you have something big, like a launch. Then, you only want one goal for that entire quarter.

Map out important dates

As I mentioned earlier, you must understand your time bank for the quarter. How many hours do you really have to work on the goals and projects in your business? Do you have a realistic amount of time to get everything done in the timeframe that your brain is telling you?

It is essential to take the time to map out the dates and the actual chunks of time that you’ll work on your goals and project. When you do this, you’re not sitting down at your desk wondering what do I need to do today. It is all planned out for you in advance, thoughtfully.

Be sure to start by marking all the out-of-office dates on your calendar.

  • Vacation Days
  • Important Kid Events
  • No School Days
  • Holidays
  • Add all the out-of-office dates to your Google Calendar.

Everything else is mapped around those dates on your calendar. It's important for me to know the commitments and the time bank when I'm working on my promotion calendar or a client's promotion calendar.

Bonus: Your Content Calendar and Beyond

While not directly related to strategic planning, your content calendar is crucial. Plan out your content for the next three months, week by week. This will help you stay consistent and aligned with your goals.

Don’t Forget To Track Your Numbers

If you do not already have a stat/metric tracker in place, do that. What gets measured gets improved. Here are a few ideas of comment states:

  • Website Traffic
  • Email Subscribers
  • Engagement
  • Number of Clients

  • Number of Sales

In the world of online entrepreneurship, Black Friday promotions offer a fantastic opportunity for an end-of-the-year cash injection. I’m guessing you’ll agree it is nice right around the holidays. But when you offer one on one services, is it possible? Why not? This is the perfect opportunity to try out something new and expand your product offerings. However, you want to take a bit of time to plan and prepare to make sure you’re giving the idea the chance to succeed. As a busy business owner, you understand the importance of efficiency. This week, I’d like to walk you through simple and actionable steps to ensure you're well-prepared for Black Friday without the last-minute chaos.

Work With What You Already Have

Why think about Black Friday in August when this goes live? It is about three months away; you’ll need that time to plan and prepare for the holiday sales season. You’ll want a content strategy leading up to your Black Friday promotion.

I’m curious what have you created that you could repurpose into a mini course or digital product? One thing I’ve found with heart-centered online coaches, they give and give and give. That’s what makes you special and amazing at what you do.

Do you have a Facebook Group? If so, any lives that could be pulled together into a digital course? How about those endless workbooks you’ve created? Can they be freshened up and enhanced to create a digital product?

Take a bit of time to look at all you have done, scroll through your free offer folder, your FaceBook group, or where you hang out with your community to add value.

It would be better to think about what you have already done instead of panicking. I don't have time to create something from scratch right now.

Black Friday Plan: Define Your Goals

Before diving into the promotional frenzy, take a moment to define your goals. What do you want to achieve with your Black Friday promotions? Whether it's increasing revenue, attracting new customers, or launching new products, having clear objectives will guide your efforts.

What is the revenue target goal for this year? Are you on track to hit your revenue goal? How far off are you, or will this be icing on the cake for your online business? 

With this in mind, how do you envision your revenue for Q4 this year?

Now set your good, better, best goals. To explain, the good goal is the very minimum that you’d like to bring in for your revenue goals. Next, set your better goal; you’d be really happy with ___. 

Ultimately, what is your dancing in the streets goal? You know, I have no words. I’m in shock and awe that I reached that number, the best goal ever that drops you to your knees, thanking God for his goodness.

What Is Your Budget For Your Black Friday Plan? 

Are you able to do this without spending any additional money? Well, that would be amazing, but is it realistic? This will likely be guided by the goals that you’ve set for the promotion. Therefore, the next step to think about is, what is your budget?

Consider ad spend or short-term contract help to bring your Black Friday promotional plan to life. 

Do you want to invest in a few ads now to build up and warm your list prior to your Black Friday event? If that is the case, how much do you want to invest in your ad spend? Set your budget for ads if you are familiar with them already. 

Where would you like additional assistance? Are you going to need help creating the landing page, email funnels, and ads, as well as managing them? You may not be able to do this on your own, nor will your current team be able to help you. It may be necessary to hire specialized assistance for the best results. 

Did you figure out what you’ll want to promote? 

Did you determine if you’ll need to create something new? Were you able to pinpoint content to repurpose into your Black Friday offer? 

Will it be a course? Possibly a special one-on-one coaching package? Would you like to create a new Mastermind for the upcoming year? 

What is your Black Friday Special? 

Are you going to have the biggest blowout deal of the year? 

Or, tiered pricing, the more they spend, the more they save. 

Maybe Buy One Get One-Half Off? 

Then again, you might have a special high ticket offer that you make available only during the holiday season.

Maybe you’re planning to increase your rates in the upcoming year and you’re going to allow your clients to lock in pricing before the increase.

Grab a piece of paper and pen so that you can do a mind sweep or a mind map of all that needs to be done or created to bring your Black Friday promotion. Don’t worry about it; keep it simple and minimal. No need to go overboard with your plan. In order to give you a little jump start, here are the things to consider:

  • Identify Promotion Channels
  • Plan Content Strategy
  • Prepare Promotional Materials:
    • Graphics
  • Landing Page Design and Copy

Here are the productivity strategies I use to keep the day from spinning out of control. Let's be honest; it happens to us all. You're not alone.

Tools & Tips: Strategies for Those Feeling Disorganized and Overwhelmed

Write it all down, everything that you do during your business hours. Stay with me here; track what you're doing during your work blocks. Now, I know what you're thinking; yes, it is time-consuming to write down everything you do in a day, and it is very beneficial to see where you're losing time.

This is not a fancy system. Grab a piece of paper and record your time and what you're doing.

You'll be amazed at how much time you spend in the ladies' room. Or the amount of time that you mindlessly waste on social media.

If you want to track your time electronically, Toggl is a great option. I'm tracking my time as I write this post with Toggl. What makes it easy is a Chrome extension.

Plan Your Week

And now you're thinking, nope, not going to happen, Michele. I'm a fly-by-the-seat person, not a fan of structure, and I crave flexibility in my schedule. That's the perk of being an online business owner.

The solution is simple. Instead of coming up with an hour-by-hour schedule, what if you picked the top one to three things you wanted to do by the end of the week?

At the beginning of the week, you should break down those big tasks into small actions you can do quickly without much effort. If you take small actions daily, by the end of the week, you will be able to check off a lot of big things.

If you do not have specific things you want to accomplish and spin your wheels stuck from lack of clarity. I'm guessing this is when you're feeling disorganized and overwhelmed as a business owner.

Figure out how much working time you'll have to limit feeling disorganized and overwhelmed

Now, this is an essential time block all your meetings and appointments for the week. After you have blocked prior commitments on your calendar, set aside time to focus on operations, client work, and project planning.

You and I know that unexpected things come up; therefore, this isn't a detailed breakdown of the exact actions. Instead, you're creating space in your weekly schedule to work around established time commitments. Spend five to ten minutes mapping out your week.

Make Life Easier

As a bonus, plan out your meals for the week and create a shopping list. Not sure about you, but do you know what caused my feeling disorganized and overwhelmed? One simple and reasonable question is “Mom, what's for dinner?” Do you want to get ahead of this question too, but struggle with meal planning? Oh, girlfriend, meal planning has been a game-changer for me.

This cookbook sparked my desire to create my own eight-week meal plan in Notion. If you're new to meal planning, Cook Once, Eat All Week lays out all the meal prep to put the meal together in under 15 minutes during the evenings. When you're short on time this is a blessing.

As a bonus time saver, the mess is made during the prep day, so my kitchen is super easy to clean during the week.

Tackling Time Management: Solutions for Feeling Disorganized and Overwhelmed

Do you want to know the easiest way to tackle time management? By planning your day the day before. 

Block time at the end of each day to plan out the following day; this can be rolled up in your ‘wrap up the day' time block. Start by blocking out any meetings that have popped up since you planned your week.

Time Blocking

Time blocking keeps like items together. The tasks include writing blog posts, creating social media content, client work, and meetings. This allows you to put a time limit on these otherwise time-consuming tasks.

Set up a full day or time block for certain hours each day in your weekly schedule.

Let me guess, now you're wondering how long to block.

Double The Time For A Task

If you have no idea how long a task will take, always double the time you think it will require. If writing your next blog post takes 30 minutes, schedule an hour.

Attach Time to Each Task on Your List

Make a list of your tasks for the day and estimate the time it will take them to complete.

If you have 20 things on your to-do list, and they all take 30 minutes to accomplish, that is ten hours. In other words, it's ten hours of solid work without breaks.

Setting time in a time block will help you manage your time and eliminate feeling disorganized and overwhelmed.

If you still have over half the items on your list at the end of the day, you'll leave feeling like the day owned you. Or worse yet, you'll push through and try to finish it.

Make sure you set yourself up for success.

Do A Time Audit

This is different from the above, but you can do it the same way. If you have no idea how much time you spend doing work, it will be difficult to manage your time.
For a week or two, record the time you spend and the items you work on. This can be done by looking at the clock or using Toggl.

Buffer Time

In addition, your day should include buffer time; you may also hear me call it a fire block. Why is that? Well, you can't sit at your desk all day. You'll need to get up to move your body. 

Do not overbook yourself. Leave a minimum of 5 minutes between each time block.

In addition, add an hour of buffer time for those urgent, critical things that need to be handled ASAP. Buffer time allows you to plan for the unknown so that you do not cause a further time leak.

 

Know Your Personal Limits

We all have personal limits on how long we can focus, and friend this can vary depending on the time of the day.
In the morning, I can focus on 50-minute sprints with a ten-minute stretch break in between.

In the afternoon, my focus personal focus limit drops to 25 minutes with a 5-minute break.

Figure out what your personal focus limits are. Keep in mind it could be different depending on the time of day.

You can also keep a journal of how effective you were at certain times of the month so that you can see when you're most focused.

Productivity Hacks to Combat Feeling Disorganized and Overwhelmed

Use the Pomodoro Method. Google it, or here is the Wiki Page for information.

I've used an app called Tide on my phone for the Pomodoro Method (which is in Do Not Disturb BTW) with the sound of a cafe. Also, my Mac has the Flow app for this same thing. If you work really well from a coffee shop, try using Coffitivity on your desktop. Here is a link to a blurb about coffee shop ambient sounds and productivity.

Commit To Your Business

Earlier, I wrote a post on committing to one project at a time. I used the example that you wouldn't stop running one marathon to run another marathon. Er, that's crazy talk. (Check that post out here.)

The same concept holds true for your business or project commitments.

If you commit to releasing a new offering, don't work on your new offer and refresh your website at the same time.

The focus will be divided, and it will take twice as long. Focus on one race at a time until you cross the finish line.

Remove Distractions

Set your phone to do not disturb while you are in your time block. Schedule time to respond to phone calls and read emails.

For the love ~ do not leave your email open all dang day. Nothing derails productivity like email. Amiright?

Remember, email is not your to-do list. Answering your email isn't committing to your business. Before you even get started with OMGoodness, I can't do that; my clients need a response.

Yes, I agree that you need to respond to your clients' emails. Last time I checked, metals were not being given out to the fastest email responders. Boundaries, people. If you do not set them, someone will set them for you. Trust me you'll not succeed with someone else's boundaries.

Set a response time expectation for your clients. In your business policies, you should clarify this for your clients in your Welcome Packet.

One of my favorite mantras is: Your poor planning does not constitute my emergency. I've said this and lived by it for years.

Learn what should be taken off your plate

Have you heard of the Eisenhower method or decision matrix? It assigns importance to your tasks. This will help you figure out your weekly schedule.

They are either

  • Important and Urgent
  • Important but Not Urgent
  • Urgent but Not Important
  • Not Urgent and Not Important

Important and Urgent

Do This – If the task is both important and urgent, do this. This is why you have buffer time in your calendar. Furthermore, it should also be an income-generating task for the business owner. This can only be done or handled by you.

Important but Not Urgent

This should be scheduled on your calendar to get done.

Urgent but Not Important

These items should be delegated to someone else to do. You begin to hand over these tasks to a virtual assistant if you've been considering hiring one.

Not Urgent and Not Important

Delete it, cross it off. If it's not urgent and not important to your business growth why would you spend time doing this?
