If you've been listening to the Content Systems for Growth podcast for a while, you know season one was largely focused on content systems. Creating content more consistently. Building workflows that actually repeat. Making content feel a whole lot less overwhelming.
And I still believe in all of that. But over the last year, I noticed something. Content usually isn't the whole problem. Sometimes it isn't even the biggest problem.
Here's the thing. I can show you how to organize your content. I can show you how to build a workflow so you're not starting from scratch every time you sit down to write. But if the rest of your business still depends on you remembering every little detail, you're probably still going to feel overwhelmed. Before we get into it let me answer.
What are business systems for small business owners?
Business systems for small business owners are the repeatable processes that keep a business running smoothly without the owner having to remember every detail herself. That includes things like client onboarding, project management, follow up, documentation, and delegation. When these are set up well, the business runs because of the system, not because the owner is holding it all together in her head.
That's where the shift starts. When the business is working, but it still feels hard.
You can have a successful business and still feel like it's harder to run than it should be. Your clients are happy. Revenue is coming in. Maybe you have a contractor or two helping out. You have tools, you have things that are supposed to be systems. But somehow, you're still the one holding it all together.
You're the glue. You're the one remembering a client needs a follow up. You're the one checking that a project actually moved forward. You're answering questions your team has asked before. You know where all the files are, what comes next, which client needs what, and every little exception nobody else knows.
So technically, the business is working. But it's working because you keep making it work.
3 signs you're the bottleneck in your own business
- You're the one who remembers, not the system. Follow ups, next steps, client details. If it only happens because you thought of it, that's not a system. That's you.
- Your team keeps asking questions they've already asked before. It's not that they're not capable. It's that the answer only lives in your head, so they have to keep coming back to you to get it.
- You can't close your laptop without wondering what's going to fall through the cracks. The business run1s, but it only runs because you're still holding it. That's not a working system. That's you working harder to make it look like one.
And that gets heavy.
Especially when you've reached the point where you don't necessarily want a bigger business. You just want the business you already have to feel calmer. You want to serve your clients well and keep growing in a healthy way. But you also want to close your laptop without wondering what's going to fall through the cracks while you're gone.
That's what we're getting into this season. Not more content systems, but business systems.
What that actually means
When I say systems, I don't mean turning your business into a complicated machine. I don't mean adding more software, and I definitely don't mean creating a 47 step process for something that should take five minutes. I love a good process, but the goal was never a system for the sake of having one.
The goal is to make your business easier to run.
That means looking at the workflows happening behind the scenes. Your client experience. Project management. Onboarding and offboarding. Documentation and SOPs. Your team and how you're delegating. Follow up. And the tools you're using, and whether they're actually helping or just adding another thing to manage.
A quick word on AI
We'll talk about AI too, but not from the angle of trying 97 new AI tools to see what sticks. That sounds exhausting even to me. What matters is using AI practically inside the business you already have. Where it can save you time. Where it can help document what you're already doing. Where it can support your team. And just as importantly, where it doesn't belong.
Because the goal isn't to cram more into your day. It's the opposite.
This isn't about doing more
I want you to hear that clearly, because it's the idea we'll keep coming back to this season. This isn't about doing more. It's about making the work you're already doing easier to see, easier to repeat, and easier to hand off.
If everything in your business lives inside your head, there's a limit to how much relief you can actually get. You can hire help, but you're still answering all the questions. You can add software, but you're still the one making sure everyone uses it. You can automate something, but if the process underneath it is messy, you've just automated the mess.
Sometimes the answer isn't another tool. Sometimes it's stepping back and asking what you're actually doing, why you're doing it that way, who should own it, and how to make it easier next time.
A stewardship perspective
We talk a lot about stewardship when it comes to money in business. But stewardship applies to our time, our energy, our gifts, and the business God has entrusted to us too. Good stewardship doesn't mean carrying every single thing yourself.
Sometimes wisdom looks like putting structure around what God has given you. Sometimes it means documenting something so someone else can help you. Sometimes it means letting go of the idea that you have to remember everything yourself. And sometimes it means admitting that a way of doing things worked for a season in your business, but it isn't working anymore.
There's freedom in that. You don't have to build your business the way someone else builds theirs. You don't need the biggest team or every new tool, and you don't need to chase growth just because everyone says you should want it.
You can build a business that supports the life God has called you to live. Part of that may be building a business that doesn't require you to hold every piece of it together.
